A Zexi transformation of a Chancery set – complete modernisation of conferencing, AV and communications systems to support hybrid working, improve efficiency and enhance the experience for barristers, clerks and clients.
Modern chambers rely on technology in every aspect of daily practice. Systems must be reliable, intuitive, secure and support both in-person and remote work without disruption. Barristers need immediate access to working hearing rooms. Clerks need efficiency under pressure. Clients expect professionalism at every interaction.
For one of our clients, a leading Chancery set, the challenge was to modernise both collaboration and communications infrastructure while maintaining the professionalism and continuity expected. Their existing AV and telephony systems had become fragmented over time. On-premise infrastructure was increasingly costly to maintain and no longer supported the flexibility required for hybrid hearings and remote working. They required a unified, future-proof approach to simplify user experience, reduce downtime and support long-term scalability.
Zexi Ltd – recommended and contacted early on in the planning – delivered a complete modernisation across conferencing, AV and communications systems.
From the outset, the project was shaped by how the chambers actually operates. Meetings, hearings and client conferences take place throughout the day, often with little margin for technical delay. Clerks require systems that are simple to manage. Barristers need technology that works instantly and reliably in high-pressure environments.
Initial consultation with the Chambers Director focused on identifying pain points across both meeting room technology and communications infrastructure. The objective was not simply replacement, but integration – ensuring AV, conferencing and telephony worked as a single, cohesive environment.
The first phase focused on meeting rooms and conference facilities. Chambers required a system capable of supporting Microsoft Teams, Zoom and CVP, while remaining straightforward enough for immediate use by all staff.
Zexi optimised and stabilised existing infrastructure where possible, resolving reliability issues and improving user experience. This was followed by the design of a flexible conference suite solution using a combination of Sony, Yealink, Wildix and Biamp technologies.
The system enabled multiple camera views for speakers and audiences, clear intelligibility through advanced microphone design, and adaptable configurations for hearings, seminars and hybrid meetings. Room booking integration further improved operational clarity across Chambers.
The second phase addressed their legacy phone system. The existing on-premise infrastructure was becoming difficult to maintain and lacked the flexibility required for modern legal practice.
Zexi implemented a cloud-based unified communications platform, integrated with Microsoft Teams, using Wildix, enabling barristers, clerks and staff to communicate seamlessly across devices, in Chambers or remotely. The new system delivered device-independent calling, voicemail-to-email transcription, scalable user management, improved call routing and reduced internal communication costs. It also removed reliance on physical infrastructure, significantly improving resilience and flexibility.
A key factor in the success of the project was ongoing support and collaboration throughout delivery and beyond. Zexi continued to provide training, optimisation and technical assistance to ensure smooth adoption across Chambers.
As the Chambers Director noted: ‘I had a personal recommendation to speak with Michael and Shannon about our media needs and I am very glad we did so. I have found the experience of working with Zexi to be as good as anyone might wish. They have on many occasions gone the extra mile for us: we had a few unexpected googlies to deal with along the way, and Michael personally navigated those with me. Their belief is in building relationships and keeping the personal touch, and that is very refreshing in this day and age. It is also unusual – and a great relief – to have people who can speak to you about tech in plain English! The engineers on the team who have scoped and set up the systems so well are also very knowledgeable and able. We now have capability in place that will see us well into the future.’
The result is a fully modernised Chancery set with communications and collaboration systems that work seamlessly in the background. The new unified, scalable and reliable infrastructure supports hybrid working, improves efficiency, and enhances the experience for barristers, clerks and clients alike.
